Receipt a card payment ​

When you need this ​

A parent pays school fees by card on the school's own card machine. Receipt it at the desk, the same day. The bank shows the payment on the statement of the account the card machine pays into, a day or two later, and the app links that line to your receipt. The student is credited once.

Steps ​

  1. Open Receipts in the menu and press New Receipt.
  2. Student: start typing the student's name, and pick them. (The search matches names, not student numbers.)
  3. Amount: the amount on the card slip.
  4. Payment Method: the school's card method, set up for the card machine at go-live (for example Card (school POS)). Always this one for the card machine: it sends the money to the account the card machine pays into.
  5. Cash account: fills itself in from the payment method. Check it shows the account the card machine pays into; leave it.
  6. Date: the day on the slip.
  7. Reference: the RRN printed on the card slip, digits only (for example 000007678719). This is what links the bank's line to this receipt. Don't leave it empty.
  8. Press Save.

What you should see ​

The receipt in the Receipts list, for the right student and amount. When the statement with this payment is uploaded, its card line shows as done, linked to your receipt, with no student to choose.

If something goes wrong ​

  • The card line on the statement wants a student (Needs attention): the receipt was saved without the RRN, or for a different amount or date. Open the line's ⋮ menu → Already receipted? and press Link next to your receipt. Never Create a new receipt for a payment you already receipted: the student would be credited twice.
  • "Another amount. If it is this payment, correct the receipt first, then link it.": the receipt's amount differs from the bank's. Correct the receipt, then link.
  • You chose the wrong payment method (for example Cash): the receipt sits on the wrong account and the statement can't link it. Ask the bursar to correct it before the statement arrives.
