Work through a statement's lines

When you need this

After every statement, whether it arrived by email or you uploaded it. The app has already matched what it could. Your job is to confirm the receipts and decide the rest, until nothing is left in Needs attention.

Steps

  1. Open Cash & Bank, the account, the Statements tab, and the statement.

  2. In Statement lines, look at the filter chips: All, Needs attention, Ready, Done.

  3. Ready lines are fee payments that already have their student, shown as Ready to receipt. Check the names, then press Confirm N receipts · total and confirm. Each line becomes a receipt for its student.

  4. Open Needs attention and work each line by its status:

    StatusWhat it meansWhat to do
CheckThe app found a student but something doesn't add up; the reason is shown under itRead the reason. ⋮ → Change student if it's wrong, then confirm
No studentNo student was found⋮ → Choose student, search by name or student number, Use this student
Already receipted? in the ⋮ menuThe student may already have this payment on a receipt (often a card payment)⋮ → Already receipted? and Link the receipt. Only if the student really paid twice: Create a new receipt
Unmatched (money out, a sweep, a charge)Not a student's paymentSee Sweeps or Withdrawals and bank charges
A payment that isn't school feese.g. a donation or a refund to the school⋮ → Not a student payment, then Match to cash book
  5. After choosing students, press Confirm … receipts again.

What you should see

Needs attention at 0, and the receipts under Done marked Receipted. The students' balances go down by what they paid.

If something goes wrong

  • You receipted the wrong student: ⋮ → Unmatch on the line. That cancels the receipt. Then choose the right student and confirm again. A parent may already have the cancelled receipt's number: tell the bursar.
  • "Some payments were held": the student may already have that payment on a receipt. Those lines wait in Needs attention with Already receipted?. Link them rather than receipting twice.
  • Match again re-runs the student matching (for example after a new student was added). Choices you already made are kept.
