Send a message to parents
When you need this
The school needs to tell parents something: a closing day, a reminder, a newsletter. Send it to one student's parents, to one or more classes, or to everyone.
Messages go by email: to the email address on the student's record and to their linked parents' addresses. A parent with no email address saved won't get it.
For fee reminders to parents who owe, use Debtors and its Send reminder instead. For each child's statement, see Send statements to parents.
Steps
- Open Communications in the menu and press New Communication.
- Recipient type: choose who gets it.
- Student: one student's parents. Then type the name in Student and pick them.
- Class: then pick one or more in Classes.
- Everyone: every student's parents.
- Subject: what the parent sees as the email's subject.
- Message: the text of the message.
- Attachments (optional): Click here to attach files, for example a newsletter PDF.
- Press Send.
- For Everyone, the app asks Apply to everyone? and how many recipients it will go to. Press Yes, continue.
What you should see
The Communications list opens with your message at the top. Its Status shows PENDING while the emails go out, then SENT once anyone has received it.
To check a single parent's email: More → Email Logs lists each email with its Recipient, Subject and Status. Search by the parent's address.
If something goes wrong
- Status FAILED: nobody received it. Usually none of the recipients has an email address saved. Add the parents' email addresses on the students' records and send again.
- "Please select a customer": you chose Student but didn't pick one from the list. Type the name and click the student.
- "Please select at least one group": you chose Class but didn't pick a class.
- A parent says they didn't get it: look them up in More → Email Logs. If their address isn't there, it isn't on the student's record or on a parent linked to the student.
- Sent to the wrong people: an email can't be called back. Send a short correction to the same people.
