Upload students from a spreadsheet ​

When you need this ​

You have a list of students in Excel to add in one go, for example a new intake.

The big first import, when your school starts on the app (every student, their parents and what each already owes), is done with support. Don't use this page for it.

Students uploaded this way don't get a school student number, and the file has no opening balance or enrollment date. For a student who needs those, use Add a student.

Steps ​

  1. Open More in the menu, then Upload Students. (The page's heading still says Upload Customers.)
  2. Press Download template. It is an Excel file with the columns and a sample row.
  3. Fill in one row per student, then delete the sample row:
    • The student: CUSTOMER_FIRST_NAME and CUSTOMER_LAST_NAME.
    • Their class and residence: CUSTOMER_GROUP_1 and CUSTOMER_GROUP_2. Spell them exactly as in More → Classes.
    • A parent: the CONTACT_… columns (name, phone, email) and RELATIONSHIP_TYPE: MOTHER, FATHER or GUARDIAN. Left empty, the parent is linked as an emergency contact.
    • Leave columns you don't need empty.
  4. Save it as Excel (.xlsx). At most 1,000 rows per file.
  5. Back on the page, under Upload File, choose the file and press Upload.

What you should see ​

Success! Created … customer(s). The students are in the Students list.

Check More → Classes: a class or residence name in the file that didn't exist yet has been created, but as a General group. Open it, press Edit and set Type to Class (or Residence (boarding / day)). See Classes and residences.

Parents linked by the upload don't receive invoices yet. On each student's Parents tab, use ⋮ → Edit and switch on Receives Invoices for the parent who pays: see Parents.

If something goes wrong ​

If any row has a problem, nothing is imported. The page lists every problem by Row, Column and Problem. Fix them all in the file and upload it again.
