Sweeps between the school's accounts
When you need this
Some banks move the day's money from a fees collection account to the school's main account every night (CBZ calls it a daily sweep). Each statement shows it as a DAILY SWEEP collection account number TO main account number line: money out on one, money in on the other. It is the school's own money moving, never a student's payment.
Usually there is nothing to do. When both accounts' statements for that day are in, the app records the transfer itself and matches both lines. They show as matched, automatically.
Steps (only when a sweep line is still Unmatched)
- Check the other account's statement for that day is in. If it isn't, upload it (or wait for the email). That alone books the sweep.
- Both are in and it's still Unmatched: open either statement and press Auto-match at the top.
- Still Unmatched (the app wasn't sure, for example two sweeps of the same amount that day): record it by hand.
- Cash & Bank → Transfers → New Transfer.
- From: the collection account. To: the main account.
- Amount: the sweep amount. Transfer Date: the day on the statement.
- Note (optional):
DAILY SWEEPand the date. - Press Transfer, then open the transfer and press Confirm. The money only reaches the main account on Confirm.
- On each statement, the sweep line's ⋮ → Match to cash book, and pick the transfer.
What you should see
Both sweep lines matched, and the two accounts' balances in the app equal the bank's.
If something goes wrong
- A sweep left unmatched affects no student, but the collection account looks fuller and the main account emptier than they are, and neither statement can be closed. Clear it the same week.
- A transfer recorded twice: Transfers → open the extra one. Still Pending: Cancel Transfer. Already Completed: Reverse, with a reason.
