Send statements to parents ​

When you need this ​

At the end of a term or a month, each parent gets their child's statement: what was invoiced, what was paid, and the balance, for the period you choose. A statement run makes one statement per student and emails it.

Steps ​

  1. Open More in the menu, then Statement Runs.
  2. Press New Statement Run.
  3. Recipient type: Class for one or more classes, or Everyone for every student. With Class, pick the classes in Classes.
  4. Start Date and End Date: the period the statement covers, for example the first and last day of the term.
  5. Reference (optional): a name for the run, for example Term 2 statements.
  6. Channels: switch on Email. Leave Sms and Whatsapp off: they don't send statements.
  7. Press Save.
  8. For Everyone, the app asks Apply to everyone? with the number of students. Press Yes, continue.

What you should see ​

The Statement Runs list, with the new run on top. Its Status is PENDING while the statements are made, then COMPLETED, with a Success Count and a Failed Count.

Press View on the run to see each student's statement and its Status.

Each statement is emailed as a PDF to the email address on the student's record and to their linked parents.

If something goes wrong ​

  • "Please check the date fields" or "End date must be after start date": set both dates, with the End Date after the Start Date.
  • "Please select at least one group": you chose Class but didn't pick a class.
  • Failed Count is more than 0: open the run with View and look for the students whose Status is FAILED rather than SUCCESS. Tell the bursar, who can ask Modial support why.
  • A parent didn't get the email: the run counts a statement as a success once it is made, even if nobody has an email address to send it to. Check that the student or a linked parent has an email address saved, and look the address up in More → Email Logs.
  • You forgot to switch on Email: the statements were made but not sent. Run it again for the same period with Email on.
  • One student only: a statement run goes to classes or everyone. For a single student, use the statement on the student's own page.
