Upload a bank statement ​

When you need this ​

  • If your bank emails a daily statement to the school, it usually arrives by itself each morning. Upload by hand only when one is missing (see "Bank statement not received"), or for a statement you downloaded from internet banking.
  • An account whose bank doesn't email statements: download each statement from internet banking and upload it.

Steps ​

  1. Open Cash & Bank and click the account the statement is for.
  2. Open the Statements tab and press Upload statement.
  3. File Format: PDF.
  4. Statement File: choose the PDF.
    • AFC Commercial Bank: upload it with the name AFC gave it (for example <school> SDC 2026-10-05 _ 2026-10-08.pdf). AFC's statement doesn't print its dates; the app reads them from the file name. Renamed, the statement is refused or shortened.
  5. File Password (optional): only for a statement locked with a different password from the account's emailed statements, for example a CBZ statement downloaded from internet banking. Type that file's password here. It is used for this upload only and not saved. Leave it empty for anything else.
  6. Press Upload.

What you should see ​

Statement uploaded, then the statement opens and starts Matching payments to students…. Continue with Work through a statement's lines.

If something goes wrong ​

The message says why. The common ones:

…could not be opened with this account's stored statement password…An internet-banking download: upload again and type its password in File Password.
The statement could not be opened with the password enteredThe password typed doesn't open this file. Check it and try again.
This statement is for account ending …, not this cash accountYou chose the wrong account. Pick the account the statement belongs to.
This file's name does not carry the statement period…An AFC statement was renamed. Download it again, or type Period Start and Period End.
…already importedThis statement (or one covering the same days) is already in. Nothing to do.
not imported (every posting is before the import start date)The statement is from before the school started on the app. Nothing to do.
